Rill and Zoom
What it does
A Zoom meeting for each booking. When someone books time with you through a meeting type set to Zoom, Rill creates a meeting on your Zoom account and puts its join link in the calendar invitation and the confirmation emails. If the booking moves, Rill moves the same meeting, so the link stays the same. If it is cancelled, Rill deletes the meeting.
“Schedule a Zoom with …” Ask by text, in Ask Rill, or by email, and Rill prepares the meeting: who, when and for how long. It shows you the details first. Only when you approve, in the app or by replying yes, does it create the Zoom meeting and send the invitation.
What you need
- A Rill account.
- A Zoom account. Zoom’s free plan works. If you do not have one, you can sign up at zoom.us/signup.
Adding the app
- Sign in to Rill and open Book time with me (in Tools, or in Settings).
- Choose Set up booking (or Guided setup) and go to Meeting types.
- For a video meeting, under Video link, choose Zoom.
- Choose Connect Zoom. Zoom opens and asks you to sign in.
- Review what Rill asks for and choose Allow on Zoom. You return to booking setup, and Zoom shows as connected.
Once Zoom is connected, asking Rill to schedule a Zoom works too. If you ask before it is connected, Rill sends you a link to connect it; ask again once it is connected.
Using it
Bookings. Share your booking page as usual. Each meeting booked through a Zoom meeting type gets its own Zoom link, on the calendar event and in the confirmation emails.
Asking Rill. For example, by text:
“Schedule a Zoom with dana@example.com on Thursday at 3 for 30 minutes about the Q4 plan.”
Rill replies with the meeting it has prepared: the title, Thursday at 3:00 for 30 minutes, and Dana as the guest. Reply yes, and Rill creates the Zoom meeting, adds it to your calendar with its link, and sends Dana the invitation.
If Zoom is not connected, or Zoom cannot be reached when someone books, the booking still goes ahead with your calendar’s own link (or none), and Rill tells you in the booking email.
Removing the app
In Rill:
- Open Settings, then Connected accounts.
- Find Zoom and choose Disconnect.
In Zoom:
- Sign in to the Zoom App Marketplace.
- Choose Manage, then Added Apps.
- Find Rill and choose Remove.
What happens to your data.Either way, Rill deletes its Zoom tokens at once and makes no new Zoom meetings. Meetings already created stay in your Zoom account, and your bookings keep their history. Booking types set to Zoom carry on with your calendar’s own link until you connect Zoom again. Disconnecting in Rill does not remove Rill from your list of added apps in Zoom; to do that as well, remove it in Zoom.
What Rill uses from Zoom
- Meetings: to create, update and delete the meetings described above, and only those.
- Your basic profile: your Zoom email address, to label the connection, and your Zoom user ID, to recognise Zoom’s notice if you remove the app.
Nothing else is read: not your other meetings, recordings, chat or contacts. Your Zoom tokens are encrypted at rest. More in the Privacy Policy.
